Missed call text back

Missed call text back for Australian businesses

Missed call text back sends an automatic SMS to someone whose call you could not answer, so they get a reply instead of silence. PingMate does it from your own Australian 04 business number. The call rings your mobile first, and if you cannot pick up, PingMate texts the caller with an AI-written or saved reply and sends you the details. It costs $39.90 a month.

Why a text back keeps the job

Plenty of callers who reach voicemail hang up without leaving a message and try the next business on the list. A text back reaches them within seconds of the missed call, while they are still deciding who to ring next.

The text tells them you got the call and what happens next. For most enquiries that is enough: they reply with what they need, and you answer when you are free instead of playing phone tag.

How it works with PingMate

  1. 1

A customer calls your PingMate number

You publish one Australian mobile number for business calls and texts.

  2. 2

    Your mobile rings

The call forwards to the phone you already carry, for as long as you choose. Answer it if you are free.

  3. 3

    PingMate plays your greeting

If you do not answer, the caller hears your voicemail greeting, recorded in your own voice or read out from text.

  4. 4

    The caller gets a text

If they leave a message, PingMate transcribes it, sends you a short summary and can text them a reply that responds to what they said. If they hang up without a message, PingMate can still send your saved missed-call reply.

An AI reply or your own saved reply

A saved reply sends the exact wording you write, every time. An AI reply reads the voicemail and your business details, such as your services, rates and booking link, and writes a reply to that caller. It can include a rough price range from your settings, which you should check before letting AI replies send on their own.

You can choose a different method for missed calls and for texts customers send you, and switch automatic sending off whenever you would rather review each reply first.

An AI reply to a voicemail

Hi, can you fit in a full groom for my cavoodle this Saturday?

Thanks for calling Bright Paws Grooming. A full groom for a small dog is usually $85 to $110. Saturday morning works. Reply with your suburb and I will confirm a time. Sam

Setting it up

After you sign up and choose your number, add your mobile in Settings, turn on call forwarding and missed-call text back, and either write your saved reply or fill in your business details for AI replies. Then put the number on your Google listing, website, ads and signage.

What it does not do

  • Texts only go to Australian mobile numbers. Callers on a landline or a hidden number still reach your voicemail, but cannot be texted.
  • PingMate waits before texting the same number again, so a caller who rings twice in a row gets one text, not two.
  • When a caller hangs up without leaving a message, there is nothing for AI to read, so the text uses your saved reply.
  • Every text PingMate sends uses message credits from your plan.

Common questions

What happens when I cannot answer a call?

PingMate plays your voicemail greeting and records the caller. When they leave a message, PingMate transcribes it and sends a summary to your mobile. You can also choose whether PingMate texts the caller automatically.

Can PingMate text someone who hangs up without leaving a voicemail?

Yes, if you enable missed-call text-back and save a message for that situation. It works for eligible Australian mobile callers and includes a cooldown to avoid repeatedly texting the same number. With no voicemail content to interpret, this reply uses your saved message rather than AI.

What is the difference between saved replies and AI replies?

Saved replies send the exact wording you write. You can keep one saved reply for direct texts and another for missed calls. AI replies use the customer message and your business settings to prepare a more specific response. You can switch automatic sending off when you want to review and reply yourself.

What uses a message credit?

A credit is used when PingMate sends a customer reply, sends a missed-call text-back, or sends a voicemail summary to your mobile. A voicemail can use two credits when PingMate sends both your summary and a reply to the caller. Receiving a call or text does not use a credit. Your first 100 credits are included each month, then each additional credit costs 5c.
