After-hours auto reply
After-hours auto reply for your business calls
PingMate answers your business number differently when you are closed. You set your opening hours and timezone once. Outside them, calls skip your mobile and go to an after-hours voicemail greeting, and callers can get an automatic text so they know you will be in touch. It costs $39.90 a month.
What callers get when you are closed
Callers hear your after-hours greeting instead of your usual one. You can upload it in your own voice or type it and have PingMate read it out. They can leave a message, and PingMate transcribes it.
If you have missed-call text back on, the caller also gets a text a few seconds later, so they are not left wondering whether anyone will call back.
Thanks for calling Priya's Cleaning. If we are closed, we open again at 8am on weekdays. Reply with your suburb and what you need and we will get back to you first thing.
What you get
Your phone does not ring while you are closed. Each voicemail is summarised so you can see what came in at a glance.
You can also pause the text alerts PingMate sends to your own mobile outside opening hours. Instead of a buzz every time a customer writes in at night, you get one roundup text when you open.
Texts that arrive after hours
Automatic replies to customer texts keep running at all hours, using AI or your saved reply, so a customer who writes in at 10pm gets an answer straight away. The conversation then waits in your inbox for the morning.
Setting it up
In Settings, set your weekly opening hours and timezone, add an after-hours greeting, and turn on missed-call text back. The same text reply goes out day or night, so mention your hours in your saved reply if you want callers to know when you open.
What it does not do
- Texts only go to Australian mobile numbers, after hours as at any other time.
- AI replies do not know your opening hours. For a reply that mentions them, use a saved reply.
- Every text PingMate sends, day or night, uses message credits from your plan.
Common questions
What changes outside my business hours?
You can set weekly opening hours, your timezone and a separate after-hours voicemail greeting. Outside your opening hours, calls skip your mobile and go straight to voicemail, using your after-hours greeting if you have set one. You can also pause the text alerts sent to your own mobile while you are closed and get one roundup text when you next open. Automatic replies to customers keep running at all hours.
Can I use my own welcome and voicemail messages?
Yes. You can upload a welcome message that plays before the call rings, plus your own normal and after-hours voicemail greetings. Greetings can use uploaded audio or text that PingMate reads to the caller.
What happens when I cannot answer a call?
PingMate plays your voicemail greeting and records the caller. When they leave a message, PingMate transcribes it and sends a summary to your mobile. You can also choose whether PingMate texts the caller automatically.
What happens when a customer texts my PingMate number?
The message appears in your web inbox. Depending on your settings, PingMate can reply with your saved message or prepare an AI response. If automatic sending is off, it waits for you. During an active conversation, new customer texts stay in the inbox instead of triggering another automatic reply.
